What Charity Recorder is

Charity Recorder is a personal record-keeping tool. It helps UK taxpayers record their charitable donations, track Gift Aid eligibility, view totals by UK tax year, and export a CSV for their own records.

Charity Recorder is not a tax-filing service. It does not submit information to HMRC on your behalf, and it does not give personalised tax advice. What you choose to report, claim, or file is entirely your responsibility.

Charity Recorder is not affiliated with, endorsed by, or connected to HMRC or any UK government body.

Your account

You must provide a real, working email address when you sign up. You are responsible for keeping your account credentials secure. Do not share your password.

Accounts are for personal use by you and the members of your household. You may invite an accountant or other trusted person as a read-only viewer.

Acceptable use

You may use Charity Recorder to:

  • Record your own charitable donations.
  • Share read-only access with an accountant or household member.
  • Export your data for your own records.

You may not:

  • Use the service to store data on behalf of a charity, company, or trust.
  • Attempt to access another user's data.
  • Reverse-engineer or resell the service.
  • Use the service in any way that is unlawful or harmful.

Service availability

We aim to keep Charity Recorder available, but we do not guarantee uninterrupted access. We may carry out maintenance or make changes at any time. During the beta period, features and limits may change.

Data retention and deletion

Your data is retained while your account is active. If you request account deletion, your data is held for 30 days before permanent deletion to allow for any disputes, then permanently removed. You can export all your data at any time from the Settings page.

Limitation of liability

Charity Recorder is provided “as is”. We are not liable for any loss arising from your use of the service, including errors in your records or tax submissions. Always verify your records independently.

Changes to these terms

We may update these terms. If we make material changes, we will notify you by email. Continued use of the service after notice constitutes acceptance of the updated terms.
